Manage Scheduled Invitations
Invitation emails that have been sent to a distribution list or scheduled to be sent later are automatically tracked in the Schedules tab of the Program Setup > Invitations page.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

From the All schedules field, select Sent schedules.
The schedules shown in the table will filter to only show those invitations that have already been sent to their respective distribution lists.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the number value in the Invitees column of the Schedules table.
The name and email address of each recipient will be shown in a new Invitees screen.
Note: The recipients listed in the Invitees screen may differ from those currently included in the distribution list if the list has been modified.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

From the All schedules field, select Upcoming schedules.
The schedules shown in the table will filter to only show those invitations that have not yet been sent to their respective distribution lists.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Update schedule.

In the Update schedule screen, make any changes as needed.

Change the program to which recipients will be invited to apply.

Update the program cycle in which they can apply.
Note: If a future cycle is selected, then they will not be able to apply until that cycle is open. If no cycle is selected, then the Applicant can apply during any open cycle.

Modify the date to send the invitation.
Tip: To send the invitation immediately rather than in the future, select Send now from the How do want to the send the invitation? field rather than changing the date to today's date.

Specify which email template to be used for the invitation.

Include individuals in the BCC and/or CC areas of the email.

Add an attachment to be sent with the invitation.

Select Save schedule to save all changes.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Update schedule.

In the Update schedule screen, make any changes as needed.

Change the program to which recipients will be invited to apply.

Modify the date to send the invitation.
Tip: To send the invitation immediately rather than in the future, select Send now from the How do want to the send the invitation? field rather than changing the date to today's date.

Select Save schedule to save all changes.
The email sent will be the version of the GC-58 Invitation to apply to {{PROGRAM_NAME}} system email that is specified as Default for the program. This can be updated after setting the schedule.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Update schedule.

In the Update schedule screen, specify which email template to be used for the invitation.
Tip: Select the eye icon next to the emails to view a preview of the email copy.

Select Save schedule to save all changes.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Update schedule.

In the Update schedule screen, provide the email addresses of individuals who should be included in the invitation email in the CC and/or BCC fields.

Select Save schedule to save all changes.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Update schedule.

In the Update schedule screen, select Add attachment to include any files that should be sent in the email.

Select Save schedule to save all changes.
Warning: This action cannot be undone.

Navigate to the Program Setup > Invitations area.

Select the Schedules tab.

Select the ellipsis icon next to the item and then Delete schedule.

Confirm the action before the invitation is deleted.
