How Applicants Experience Program Automations
When applicants apply to grant programs through a Program Automation, their experience is similar to that of completing an Eligibility Form for any other program. The actions taken may vary based on the automation's Applicant type.
Individual applicants
If the Applicant type is set to Individual applicants...

The applicant will access the shared link to open the Applicant Portal. They will need to log in or create an account to proceed.

A screen with the automation's name and description will appear, similar to that of standard programs, and they will be prompted to apply.
Note: Both of these details are configured by the Grant Manager when setting up the Program Automation.

After completing the form, the following will happen based on their responses.

If their responses match... - The applicant's responses match a Route defined for the automation so they are routed to a specific program to apply.

If their responses do not match... - The applicant's responses do not match any Routes defined for the automation so they are either routed to a fallback program or a message is presented to them. Both of these outcomes are configured by the Grant Manager when setting up the Program Automation.

Nonprofit organizations
If the Applicant type is set to Nonprofit organizations...

The applicant will access the shared link to open the Applicant Portal. They will need to log in or create an account to proceed.

A screen will appear, prompting them to select their nonprofit organization.
Note: Applicants must choose from the organizations shown in the Select Your Organization modal. New organizations cannot be manually added.

After selecting their organization, a screen with the automation's name and description will appear, similar to that of standard programs. They will be prompted to apply.

Note: When the applicant is routed to a grant program, the system automatically validates the organization selected against the program’s settings to ensure the organization selected is eligible to apply. If it is not eligible for the program, the applicant will be notified that they cannot proceed with the application.

Frequently asked questions (FAQ)

Program Automations do not support the ability to add a new organization. This is because Routes defined by the automation may use the organization and its attributes to determine which program an applicant is routed to or if they are eligible to apply. Because of this, the Add organization button will not be available in the Select Your Organization modal even if that functionality is enabled at the program-level.
