Manage Custom Emails

Navigate to the Settings > System Emails area.

Find the appropriate email template in the System Emails table.

Select the Show copies arrow icon next to the item to expand the item and view the email's copies.
All copies created for this email template will appear in the dropdown with the following details:

Active for system - This is a value of Yes or No.

Email ID - The ID for customized emails is an iteration of the original Email ID. For instance, customized emails created from the GC-10 template will have an Email ID of 10.1, 10.2, and so on.

Email usage - This is the description provided when creating the copy.

Programs using this email - A list of all programs to which this specific copy is assigned will appear in this field.

CC/BCC - A total of unique email addresses included in the CC and BCC fields will be shown.

Navigate to the Settings > System Emails area.

Find the appropriate email template in the System Emails table.

Select the Show copies arrow icon next to the item to expand the item and view the email's copies.

Select the ellipsis icon next to the copy and then Preview copy.
The Email Preview screen will appear, showing the subject and content of the email selected.
Tip: Select the Send test email button in the Email Preview screen to send a test email to the email address assigned to the user's account.
Note: If translations have been provided for the email copy, select the Language dropdown in the Email Preview screen to view the email copy in various languages. Customized emails are not automatically translated by the system. Learn more.

Navigate to the Settings > System Emails area.

Find the appropriate email template in the System Emails table.

Select the Show copies arrow icon next to the item to expand the item and view the email's copies.

Select the ellipsis icon next to the copy and then Edit copy.

Update the email's contents in the Edit Copy screen.

Save all changes.
Warning: Deactivating an email in the Settings > System Emails area deactivates it for the client's community, not just the individual user. Deactivated emails will not be sent out under any circumstances and will not appear as an option when setting up program emails.

Navigate to the Settings > System Emails area.

Find the email to be deactivated in the System Emails table.

Select the Show copies arrow icon next to the item to expand the item and view the email's copies.

Select the ellipsis icon next to the copy and then Deactivate this email.

Confirm the action to deactivate the email.
Once deactivated, the value in the Active for system column will change to No.

Navigate to the Settings > System Emails area.

Find the email to be activated in the System Emails table.

Select the Show copies arrow icon next to the item to expand the item and view the email's copies.

Select the ellipsis icon next to the copy and then Activate this email.

Confirm the action to activate the email.
Once activated, the value in the Active for system column will change to Yes.
