Gift Aid Refunds

After you run the R68 report and receive a Gift Aid tax claim from Her Majesty’s Revenue & Customs (HMRC), you may need to refund the tax claim due to a change made to the database. To view Gift Aid refunds for a constituent, select the Gift Aid Refunds tab of the constituent’s Revenue Information page.

Note: You can also view refunds from the Gift Aid Refunds tab of a payment application.

Refunds are generated for three main reasons.

When you change the gift amount of a previously claimed gift, the program automatically generates a refund for the gift. The refund appears on the Gift Aid Refunds tab and is pending until the R68 process runs. Pending refunds have no refund tax claim number until the R68 process runs.
If you determine that a previously claimed gift is now ineligible for Gift Aid, you can manually create a refund. On the Gift Aid Refunds tab of the payment application record, when you select to add a refund, a screen appears where you can select a reason for the refund. After you enter and save the reason, the program automatically selects the Constituent declines Gift Aid for this application checkbox on the refunded payment application. Manually created refunds appear on the Gift Aid Refunds tab of both the payment application and the constituent’s Revenue and Recognition page.

Note: You can manually add refunds only from the Gift Aid Refunds tab of a payment application.

If you edit or delete a declaration associated with a previously claimed gift, the program automatically generates a refund. However, changes to declarations do not automatically create pending refunds on the Gift Aid Refunds tab. The refund is included the next time you run the R68 process. After the R68 process runs, the refund appears on the Gift Aid Refunds tab of both the payment application and the constituent’s Revenue and Recognition page.

Under Gift Aid Refunds, the refunds for the constituent appear. For each refund, you can view its historical details, including the original tax claim and refund tax claim. A refund date and source also appear. From the grid, you can edit the reason for the refund. To update the information in the grid, click Refresh List on the action bar.

If you can access multiple sites, use the Sites field to filter and select the sites to view. Refunds associated with sites you can access appear in the grid. For information about site security, see the Sites and Site Security chapter of the Security Guide.

To view the payment associated with the refund, select the refund in the grid and click Go to payment on the action bar. The record of the payment appears. For information about the items on this record, see the Revenue section of the help file.
