Submit File to HMRC Process

Note: Before you submit the file, you should make sure your online submission gateway settings are set to the live HMRC gateway and not a local test service or the HMRC test gateway. For more information, refer to R68 Online Submission Gateway Settings.

The online submission process has several steps.

Submit file: The submission file is created and is sent to the gateway.

Gateway response: The process waits and checks the status of the submission. If the file is accepted by the gateway, the gateway submits the file to HMRC.

HMRC response: HMRC either validates and accepts the file or not. After the file is accepted, the Submit file to HMRC process sends a delete request to remove the file from the gateway.

Note: When the HMRC accepts an R68 file online, it does not mean the transactions in the file have been approved. After the file is accepted, the HMRC must still process the file to determine which transactions are approved.

From the R68 process, after you click Submit file to HMRC, the submit process status page appears.

On the Recent Status tab of the submit process page, you can view information about the submission process, including the status.

Status

When the status occurs

Submission in progress

While the file is being created and the submit process is running

 

Status messages include:

Creating submission file

Submitting file to HMRC

Waiting to check status of submission

Checking status of submission

Submission accepted by HMRC

Sending delete request to gateway

Completed

When the file is validated and accepted by HMRC

Note: When the HMRC validates and accepts an R68 file online, it does not mean the transactions in the file have been approved. After the file is accepted, the HMRC must still process the file to determine which transactions are approved.

File creation error

If the creation of the file is unsuccessful

Submission unsuccessful

If the submission of the file to gateway or to HMRC does not succeed

Error getting response

If the no response is received from the gateway after a file is submitted

HMRC validation failed

If the file is not validated and accepted by HMRC

File deletion error

If the file is not deleted successfully from the gateway after it is validated and accepted by HMRC

In addition to basic information about the process, you can also view the Transaction ID and the Correlation ID. The Transaction ID is a reference number the Submit file to HMRC process assigns to the file. The Correlation ID is a unique reference number the HMRC gateway assigns to the file. You can also view the XML of the submission file sent to HMRC.

Note: Any subsequent communication from or with HMRC regarding the approval or rejection of transactions in the file happens outside of the Submit file to HMRC process and should reference the Charity Claim Reference Number (CCRN) associated with the file.

On the History tab, you view historical status record information about each instance of the submit process. The History grid displays the status of the instance; the start time, end time, and duration of the instance; the person who started the instance; the total number of records processed during the instance; and the server used to run the process for the instance.
