An instruction record is a notice your organisation must send to Banks Automated Clearing System (BACS), such as to notify them when a donor wants to donate to your organisation through direct debit or cancel a Direct Debit Instruction (DDI). You can generate a transmission file to send instruction records electronically as paperless mandates. According to Automated Direct Debit Instruction Service (AUDDIS), the branch of BACS that helps set up a constituent’s payment process with your organisation’s bank, you cannot send a paperless mandate until you receive the constituent’s DDI. The DDI provides information about the constituent’s account and payment schedule. Your organisation may receive a completed DDI as a paper form or over the telephone or Internet. When you add a direct debit pledge or recurring gift for a constituent, select a payment method of Direct debit and select the date and source of the DDI.
To generate the transmission files to send instruction records electronically, you must create a paperless mandate instruction process. To view and manage the paperless mandates instruction processes from Revenue, click EFT. On the EFT page, click Generate paperless mandate instructions. The Paperless Mandate Instruction Process page appears.
Under Paperless mandate instruction process, the processes your organisation uses appear. For each process, you can view its name, description, and associated bank. You enter this information when you add the process. To update the information that appears in the grid, click Refresh on the action bar.
Depending on your security rights and system role, you perform many functions to manage paperless mandate instruction processes in the database from the action bar.
Note: When you start a process, the program generates output based on the sites to which you have access.
From the grid, you can add and manage the paperless mandate instruction processes as necessary.
