Add Charges
Before you add a charge, define receivables journal reference details in General ledger, Settings, Posting info. For details, see Posting Info.
-
From Receivables, Charges, select Add.
-
Select an existing client and determine whether or not you want to copy a previous charge for that client.
For example, clients may need recurring charges for the same service.
-
Enter the effective date of the charge, specify when the payment is due, and set a post status and post date.
-
Search for the billing item, then enter a description, amount, and any comments to identify the item.
-
If the charge is subject to finance charges and late fees, select Subject to finance and late charges.
Warning: To successfully generate finance and late charges, select Subject to finance and late charges on each applicable record. For example, when you select Subject to finance and late charges on a billing item, but not the invoice that includes the billing item, finance and late charges don't apply.
-
Use Service provider to select the person at your organization who assisted the client.
Tip: For convenience, you can customize this field label from general business rules in Receivables, Settings.
-
Under Distributions, specify debit accounts, classifications using grants or transaction codes, and custom fields for reporting purposes. You can also select to distribute the information evenly or by percent. For more information, see Distributions and Charge and Invoice Line Item Distributions.
Note: The distributions you view are determined by the Use a single receivables summary account and never post applications business rule from Receivables, Settings. For more details, see General.
Note: In a future release, we'll offer full support for distributions.
-
For Interfund entry set, select a set to balance accounts if the debit and credit accounts aren’t in the same fund. For more details, see Interfund Sets.
-
Add custom fields as necessary. For details, see Custom Fields.
-
Save the charge.
