This FAQ explains common testing and configuration limitations for system email templates in Blackbaud Grantmaking.

What email templates cannot be tested?

Most system emails can be tested. Templates that run on scheduled jobs are the exception and are sent only in Production.

Use View Email Templates by Email ID to confirm each template trigger and expected behavior.

The following scheduled templates cannot be tested:

  • GC-18 Application Form Added (Applicants)

  • GC-19 Application Form Recalled (Applicants)

  • GC-23 Nomination Form Added (Applicants)

  • GC-30 Nomination Form Recalled (Applicants)

  • GC-55 Report: {{REPORT_NAME}} (Grant Managers)

  • GC-56 Report: {{REPORT_NAME}} (Grant Managers)

  • GC-58 Invitation to apply to {{PROGRAM_NAME}} (Applicants)

  • GC-61 Form due by {{FORM_DUE_DATE}} (Applicants)

  • GC-62 Form due by {{FORM_DUE_DATE}} (Applicants)

  • GC-63 Form due by {{FORM_DUE_DATE}} (Applicants)

  • GC-64 Form due by {{FORM_DUE_DATE}} (Applicants)

  • GC-77 Automated File Delivery Failure (Grant Managers)

Note: GC-55 and GC-56 are scheduled report emails and cannot be tested. Generate or export reports manually for validation.

Note: GC-61 through GC-64 can be manually sent for testing even though they are normally scheduled.

Which system email templates support merge documents?

When you create a custom copy, the following templates can include a merge document through the Mail merge template field:

  • GC-13 Your Application is Approved - ID: {{APPLICATION_ID}} (Applicants)

  • GC-14 Your Application is Declined - ID: {{APPLICATION_ID}} (Applicants)

  • GC-15 Your Application is Awarded - ID: {{APPLICATION_ID}} (Applicants)

  • GC-20 Nomination Accepted for {{NOMINATED_PARTY}} (Applicants)

  • GC-21 Nomination Declined for {{NOMINATED_PARTY}} (Applicants)

  • GC-39 A Payment is on the Way (Applicants)

  • GC-50 Your Application Approved and Awarded - ID: {{APPLICATION_ID}} (Applicants)

  • GC-51 Your Application Approved and Awarded - ID: {{APPLICATION_ID}} (Applicants)
