Vetting Workflow for YourCause-Processed Grants
For applications whose grant payments are processed by a YourCause budget, all organizations are required to be Eligible for Giving in the YourCause Nonprofit Platform. Eligibility is determined by the organization's Registration Authority or through the vetting application process in NPOconnect.
Note: The workflows in this article only apply to programs where the Recipient is set to either Any organization or Organizations based on charity bucket where the bucket's rules do not exclude ineligible organizations. For more information, see Set Up Programs to Support Vetting and Adding Organizations.

Applicant is invited to apply to a grant program or receives the link to start a new application.

They click on the invitation or link, navigating to the Applicant Portal to select their organization.

In the Select Your Organization modal, they search for their organization.
They select an organization that is not Eligible for Giving.GrantsConnect automatically checks the organization's Eligible for Giving status in NPOconnect. If its status is Needs Vetting, then a Vetting Required modal appears when selecting the organization.
The organization must be vetted in order to receive payments through the Blackbaud Giving Fund (BBGF). To proceed, the applicant must provide contact information for an individual at that organization that NPOconnect can contact to initiate the vetting process.

In the Vetting Required modal, enter the following details for a point of contact:

Click Next to continue to the application.
Note: Once selected, a Vetting Request will be created for the organization in NPOconnect as detailed in Step 2. This process is the same for both domestic and international organizations.
They use the Add Your Organization tool to manually add their organization.Warning: This functionality is only available if the program is configured to allow new organizations to be added. For more information, see Set Up Programs to Support Vetting and Adding Organizations.
If their organization does not appear in the search results, they can add it as long as this option is enabled for the program and request that it be vetted. This is done by clicking on the Add organization link in the Select Your Organization modal and entering the organization's details and contact information.
Note: Once added, a Vetting Request will be created for the organization in NPOconnect as detailed in Step 2.
Note: If the applicant selects an organization that is Eligible for Giving, then they will be taken directly to the application to complete it.

They complete the application and submit it for review.
Note: After submitting the application, no further action is required by the applicant. No further communications or notifications will be sent to the applicant regarding the organization's vetting.
After the applicant has submitted a point of contact in the Vetting Required modal or added their own organization, a new Vetting Request is automatically created in NPOconnect. The contact and any active Nonprofit Administrators are then sent an email prompting them to apply for vetting.
Based on the organization's location, they will need to take one of the following actions:

Domestic (based in the United States) organizations are required to complete the Domestic Vetting Application in NPOconnect.

International (based outside of the United States) organizations are required to complete the International Vetting Application in NPOconnect.
Note: Depending on the country, the organization may need to apply for vetting with one of our processing partners rather than completing this application. For more information, see Apply for Vetting.
Note: No action is required by applicants or Grant Managers during the vetting process as this is entirely dependent on the organization being vetted. Although applicants do not receive progress updates, Grant Managers can track the status of the Vetting Request in the Application View in the Grant Manager Portal and will be notified via email when it is complete.
The Vetting Request is completed when either the organization's vetting application is Approved, Declined, or Canceled or the request itself is canceled by Blackbaud Compliance.

Approved - The organization is now Eligible for Giving across the YourCause Nonprofit Platform. Any Approved grant applications can now be awarded and paid. Grant Managers in the current workflow level are notified via the GC-45 Vetting Approved (Grant Managers) email.

Declined - The organization does not currently meet the requirements to become vetted. YourCause is unable to distribute funds to them. Grant Managers in the current workflow level are notified via the GC-43 Vetting Declined (Grant Managers) email.

Canceled - The Vetting Request has been canceled because the organization did not respond to the request, etc. YourCause is unable to distribute funds to them. Grant Managers in the current workflow level are notified via the GC-91 Vetting Request Canceled (Grant Managers) email.
Tip: If the request is Declined or Canceled, it is the client's responsibility to determine next steps for any grant applications associated with the organization. GrantsConnect does not automatically cancel or decline applications based on vetting decisions. Instead, it is recommended that clients either cancel the application or pay it using a client-processed budget.
After the Vetting Request is complete (i.e., Approved) and the application is also Approved, awards and payments can be created and scheduled for processing.
