Get started with AI Acknowledgements
This tutorial explains how to configure and use AI Acknowledgements.
From Fundraising, Gift acknowledgement, you can:

Use AI Acknowledgements to send acknowledgements to donors for gifts that need them.

View recently sent acknowledgements.

Troubleshoot acknowledgement emails that were not delivered.

Access AI configuration settings.

Define roles
Roles combine tasks and permissions and determine a user's level of access. From Control Panel, Roles, you can view or, if necessary, create the following required AI Acknowledgements roles:

AI acknowledgements – a type of Artificial intelligence role

Email permissions – a type of Communications role
-
List access – a type of Fundraising role

Set permissions
From Control Panel, Users, you can specify which users can view and send AI acknowledgements, as well as which users can configure AI profiles and acknowledgement templates.
Each of the following three tasks must be assigned to users to enable them to use AI Acknowledgements.

Generative AI acknowledgements tasks, which is part of the AI acknowledgements role

Email tasks, which is part of the Communications role
-
Lists tasks, which is part of the Fundraising role

Configure acknowledgement templates
Acknowledgement templates define a message's appearance. You can define multiple acknowledgement templates to accommodate diverse types of messages. For example, you may want to tailor the image used in a message to reflect a donation to a specific fund or for attending a particular event.
Before you begin using AI Acknowledgements, you may want to adjust the default template to better reflect your organization's branding style.

Configure AI profiles
AI profiles define the tone of voice used by AI Acknowledgements to create an acknowledgement. They also stipulate the types of content to include in a message and how to display it. You can create AI profiles for different scenarios, such as for certain fundraisers, donation amounts, and specific campaigns by specifying the segmentation.
To better tailor your acknowledgements for specific purposes and to reduce the amount of time required to create and send each acknowledgement, you may want to set up at least one AI profile.

Send an acknowledgement
You can send an acknowledgement for a specific gift from the gift's record or send out batches of acknowledgements for gifts that have yet to receive a message.

From a gift's record, under Acknowledgements and receipts, select Send AI acknowledgement.

To use the generated message without any further customizations:

Select the email address for the donor.

Review the AI generated content and edit as needed. Make sure to check for and replace any placeholder content, which is between brackets. For example, replace [Your Name] with your actual name and remove the brackets.

Select Send Message. You can view a copy of the message on the constituent's record, under Actions.

To customize the generated message:

Select the AI profile to use for the message.

If desired, select the Acknowledgement Letter type. If you select a type, it appears on gift records, under Acknowledgements and receipts, Acknowledgement letter.
Note: In the database view, your organization can create and manage Acknowledgement Letter types in Letters under Configuration.

Customize the message.

Depending on the profile you select, you may be able to select the tone of voice or which donor information to include in the message.

Formal – Formal tone typically uses no slang, colloquialisms, or contractions. The language and structure are precise and the approach is business-like. The message may be similar in style to those received from an employer or other business professional.

Informal – Informal tone is conversational in nature and is similar to how you would talk with a friend or close acquaintance. It may include slang, colloquialisms, and contractions. While the structure may sometimes adhere to traditional formats, overall, the approach is less exacting.

Fun – Acknowledgements that use a Fun tone are written with a light-hearted, amusing, and perhaps witty approach. The tone attempts to engage and entertain the reader with humor by using wordplay, jokes, or clever remarks.

Enter any additional details to include.

Be specific and give clear instructions. For example:

"Include lots of emojis"
-
"Write from Elliot"
-

Specify what you don't want, saying "don't include." For example:

"Don't include any contractions"
-
"Don't include any puns"
-

Break long, complex requests into a series of smaller sentences.

Confirm acknowledgement sent
Check the Email delivery failures list for the gift. If the gift isn't listed, the acknowledgement was sent successfully.
