What user permissions are required to create and manage grant programs?

How do I update the program background image?
The program background image can be updated by editing the program and navigating to the Program Detail > Details tab. Simply upload your image in the Program background field.
Note: The recommended size of your program background image is 1920 pixels by 1080 pixels. For more information, see Update Grant Program Details.
How do I update the logo displayed in my program?
If you choose to use a logo for your program that's different from your client logo, you can update it by editing the program and navigating to the Program Detail > Details tab. Simply upload your image in the Program logo field.
Note: The recommended size for the image is 200 pixels by 200 pixels. For more information, see Update Grant Program Details.
Tip: It is not required to have a logo specifically for a program. However, this logo can be used in place of the client's logo in email communications if the Use program logo... option is enabled in Program Detail > Settings.
Eligibility
Are there ways to automate determining if an Applicant is eligible for a program?
Yes, GrantsConnect supports two methods for automatically determining eligibility.

Program eligibility - An Eligibility Form can be created and assigned to a program as the first form to be completed by the Applicant. They can only proceed to the application (i.e., Default Form) if their responses match the master responses provided by the Grant Manager. Learn more.

In-line eligibility - Conditional logic can be applied to form components, allowing Grant Managers to control the fields and questions presented to an Applicant based on their responses.
Invitations
General
If an Applicant is invited to apply in a specific cycle, can they apply at a different time (i.e., any open cycle)?
No, their invitation will only be valid for the cycle specified.
What happens if an invited Applicant forwards an invitation to an individual who was not invited?
If the program is not Invitation Only, the individual who receives the forwarded invitation will be able to apply.
Can invited Applicants apply to a program multiple times?
Yes, they can apply more than once as long as the program is not Invitation Only.
Invitation Only Grant Programs
What is an Invitation Only or Invitation Style grant program?
This type of program limits applications to a specific group of Applicants that are invited by the Grant Manager.
Tip: To create an Invitation Style program, ensure that the Invitations > Invitation Only option is enabled in the program's Settings.

How many times can an Applicant apply to an Invitation Only grant program?
Each invitation can only be applied to once by the Applicant who received the invitation.
For Invitation Only grant programs, what happens if an invited Applicants forwards an invitation to an individual who was not invited?
The individual who receives the forwarded invitation will not be able to apply.
Can the Applicant use the program link to apply if they were invited to an Invitation Only grant program?
The program link only be used if the Applicant has an unused and current invitation.
Program Cycles
Can a program have more than one cycle?
Yes, programs can have multiple cycles. However, only one cycle can be open at a time. Cycle dates cannot overlap.
How should program cycles be set up if the program is always open and does not have specific periods of time in which applications are accepted?
All programs are required to have at least one cycle regardless of duration. If there are no specific period of times when the program will accept application, there are several options available for setting up a cycle.

Set up a single cycle to use for the program. Extend the End date of the cycle as far into the future as needed.

Set up cycles based on a length of time that may be conducive to reporting, such as annual cycles (e.g., 2021 Cycle, 2022 Cycle, 2023 Cycle).
Note: This approach is recommended as it allows applications to be grouped together in a manner that makes annual reports and audit tracking easier.
Can an Applicant edit an application after the cycle ends?
Yes, Applicants can edit an application after a cycle has ended only if the application has been sent back to them for revision.
Can an Applicant complete additional forms if the cycle is closed?
Yes, the cycle time-frame only applies to the initial application submission. Additional forms can still be submitted after the cycle ends.
Can applications be moved to a different cycle?
Yes, applications can be moved to another cycle if needed. Keep in mind that if an application is moved to a future cycle, then it may be hidden in most views (e.g., reporting, filters, etc.).
Can Applicants apply if there is no open cycle?
No, a cycle has to be open for an Applicant to submit an initial application.
How does an application get assigned to a cycle?
The application is assigned to the cycle that is open when the Applicant submits it.
Will an Applicant still be able to see an application if it is offline or it has been moved to a future cycle?
Yes, the application will still be listed in the Applicant Portal. However, it cannot be edited.
Can an Applicant edit an offline application assigned to a future cycle?
No, the Applicant must wait until the cycle is open to edit and submit the application.
