Offline Donations

An offline donation form includes fields to select cash and checks as payments.

The actual entry of offline donations is done by an administrator on the Transactions tab in the constituent record of the donor. Manual entry of offline donations requires site permissions for Contact Management, Donation Management, and View Transactions.

Configure a donation form for offline gift entry

  1. In Fundraising, Donation Management, create a new fundraising campaign or Edit an existing one.

  2. On the Campaigns list page, select the All Donation Forms tab.

  3. Create a new donation form or click Edit from the Actions column of an existing form.

  4. Enter or select the appropriate information. For Interaction Mode, click offline-only, or online/offline to use this form for both types of gift entry payments.

  5. On Step 3a. Design Donor Screens, in the same row as the name of the donation form you are configuring, click Edit in the Actions column.

  6. In the Form Designer:

    1. Select either Checkout modalor Checkout embedded in the pane at the right.

    2. With the element highlighted, click Save Order and Edit Selected.

    3. Scroll through the form to make sure these payment checkboxes contain checkmarks:

      • Yes, allow administrators to record cash donations.

      • Yes, allow administrators to record donations received via check.

    4. To remove a payment type, clear the appropriate checkbox.

    5. Warning: As of May 1, 2025, the Payment Type data element will be deprecated, but you do not need to remove it. Note that the CVV field is required for offline credit and debit card donations with the new data elements. See the Checkout FAQ for more details.

  7. To send offline donors an email that advises them their gift was processed, in the left pane, click Send Donation Notification to an Offline Donor and click Add to place the element in the right pane.

  8. Click Save Order and Edit Selected.

  9. Complete the text to add a label to the checkbox for sending notification to the donor. The first element, a general label for the component, is optional.

  10. The required Transaction Summary Field Label will appear in the page summing up the donation and in which you will submit for processing. You can change this to an appropriate value.

  11. The required Checkbox Option Text will follow the checkbox in the donation entry form. You can change this to an appropriate value.

  12. You can provide optional Donor Hint Message input about the component when the admin clicks on or tabs into the checkbox

  13. The optional Is this field initially checked? checkbox lets you determine whether or not to make the notification checkbox checked by default. Clicking the box to uncheck it will make the donation entry form checkbox unchecked.

  14. Click Finish when you are done to continue defining the donation form as you would for collecting online donations.

  15. When you click Finish on the Publish page, the offline donation form displays in the Donation Form List table.

    Note: If you choose offline-only, you cannot preview the donation form while creating it. Under URL of the First Donation Form Page, on the Publish page, instead of an URL displays the message: This is an offline-only form, no user URL is available.
