Update Sort Order of Options

The sort order of options in a custom data table dictates the order in which they will appear in fields and forms. There are multiple ways to update this order.

Change sort order from the Custom Data Table View

The order of options can be modified when viewing the data table.

Note: This method is recommended, especially when working with data tables that have a large number of options.

  1. Navigate to the Program Setup > Custom Forms > Custom Data Tables tab.

  2. Select the ellipsis icon next to the item and then Edit options.

  3. From the Custom Data Table View page, select the Set sort order icon next to the search bar.

  4. In the Sort Order screen, update the order of options using the arrows or dragging and dropping options into a new position.

  5. Save all changes.

After changing the order, the option will appear in its new position on the Custom Data Table View page. Likewise, the number shown in the Sort Order column will update based on the position.

Change sort order in the Custom Data Import File

The order of options can be modified using the Custom Data Import File. This process is similar to how the file may be used for other option updates like editing, deactivation, or removal.

  1. Navigate to the Program Setup > Custom Forms > Custom Data Tables tab.

  2. Select the ellipsis icon next to the table and then Export data.

Note: A CSV file (i.e., Custom Data Import File) with columns for key, value, sortOrder, and inactive will be automatically downloaded. All options currently in the table will be included in the file.

  3. Update the Custom Data Import File with the new sort order.

  4. Return to the Program Setup > Custom Forms > Custom Data Tables tab.

  5. Select the ellipsis icon next to the item and then Import data.

  6. From the Import Custom Data screen, select the Select file button.

  7. Find and select the completed Custom Data Import File to upload.

Tip: The Custom Data Import File will be automatically validated for proper formatting and required fields upon upload.

  8. Correct any errors that appear. Errors will be listed in the screen and can be downloaded by selecting the Download errors button.

  9. If any changes were made, reupload the corrected file and verify the information before importing the data.

  10. Select the Import data button to finalize the import.

Tip: The Export data and Import data tools can also be accessed from the Custom Data Table View.

Note: For more information about the Custom Data Import File and importing options into a custom data table, see Import Options in Bulk.

Change sort order by editing the options

The order of options can be updated when editing the option in-line. This method does not automatically adjust the numbers stored in the Sort Order field for each option so it is recommended to only use this approach when the data table has a small number of options.

  1. Navigate to the Program Setup > Custom Forms > Custom Data Tables tab.

  2. Select the ellipsis icon next to the item and then Edit options.

  3. From the Custom Data Table View page, select the pencil icon next to the option.

  4. In the Edit Data Table Option screen, enter an appropriate number in the Sort order field.

Note: An error will appear if the number entered is already being used for another option. The numbers used for this field will not automatically adjust in Edit Mode like they do when changing the order from the Sort Order tool available from the Custom Data Table View.

  5. Save all changes.
