Getting Started with Prospect Insights Pro
Prospect Insights Pro provides advanced prospect research and predictive insights to help you identify your best potential donors. Follow the steps below to enable and configure this feature.

Control which team members can access and manage prospects by setting up fundraiser roles and permissions.

Go to Security > Role management > Fundraiser roles.

Create a new fundraiser role or edit an existing one. Note: Each user can have only one fundraiser role in your organization.

Under Prospect workflow tasks, select which permissions to grant to this role:

Manage unassigned prospects — allows users to qualify, dismiss, and reassign unassigned prospect candidates

Research prospects — allows users to view prospect information, giving history, and wealth attributes

Personal portfolio — allows users to view and manage only prospects assigned to them (assign to fundraisers)

All portfolios — allows users to view all prospects and see which fundraisers are assigned (assign to leadership/CDO)

Ensure the View permission is selected for all roles. This permission is required to access Prospect Insights Pro pages and see related information throughout the system.

Users must also have security group access to view constituent and gift records in the database. Depending on your workflows, users may need additional permissions for actions, opportunities, and the Fundraising Work Center.

Grant fundraiser roles to your team members so they can begin working with prospects.

In Role management > Fundraiser roles, select the fundraiser role you created or edited in Step 1.

Assign the role to the appropriate team members. Fundraisers managing individual prospect portfolios should receive the Personal portfolio role. Leadership reviewing all prospects should receive the All portfolios role.

Verify that users also have security group access to constituent and gift records. If access is missing, users will not be able to view prospect information even with the fundraiser role assigned.
Note: It may take a few moments for role assignments to propagate across your system. Users should log out and back in to see the updated permissions.

Prepare your fundraising team to use Prospect Insights Pro effectively by explaining how the feature works and what they can expect.

What the data shows: Prospect Insights Pro identifies constituents most likely to make a major gift ($10,000 or more in the next 12 months) based on their giving history, wealth data, and engagement patterns. This helps you prioritize cultivation efforts on your highest-potential prospects.

How the lists work: Prospects appear in different queues depending on their status — Top prospects (candidates ready to qualify), Needs attention (prospects requiring action), and Your prospects (assigned to your portfolio). Explain the difference between qualified, dismissed, and unassigned statuses.

The workflow: Start by reviewing and qualifying top candidates, then assign them to fundraisers for cultivation. Monitor the Needs attention lists regularly to catch undergiving prospects, unassigned qualified prospects, and other action items.

Key insight fields: When reviewing a prospect, pay attention to their Target gift range, Major giving likelihood, Giving indicators (predictive factors), and Giving behavior (past patterns). These help you understand why the prospect was identified and shape your cultivation strategy.

Scoring refresh cycles: Prospect scores and lists update periodically. Remind your team that scores are one data point among many — always combine them with your own donor knowledge and relationship experience.

Geographic availability: Prospect Insights Pro is currently available in the United States only.

Review and qualify candidates for major gift cultivation. This step is optional if your organization prefers to have leadership manage prospect qualification separately from portfolio management.

Go to Portfolio > Prospect insights > Top prospects.

Review each candidate's projected giving information. Click on a prospect to view their Target gift range, Major giving likelihood, Giving indicators, and Giving behavior. The target gift range (e.g., $10,000–$25,000) and likelihood score help you understand the prospect's estimated potential. Note: The $10,000 threshold that identifies top prospects is configurable by your system administrator based on your organization's major gift criteria.

For each candidate, decide whether they meet your organization's criteria for major giving engagement. If yes, select Mark as qualified. If not ready yet, select Dismiss prospect and choose whether to review them in 6 or 12 months.

Qualified prospects move to the Needs attention list if they're unassigned, or can be assigned to a fundraiser immediately.

Use Prospect Insights Pro insights to build targeted cultivation plans and move prospects through your fundraising pipeline from discovery to solicitation.

Go to Portfolio > Prospect insights > Your prospects to view all prospects assigned to you.

Review the Needs attention lists regularly to catch action items:

Initially qualified prospects — unassigned prospects ready for assignment. Consider which fundraisers are best positioned to cultivate them.

Assigned prospects with smaller predicted gift values — prospects predicted to give less than $10,000. Consider removing these from your major gift portfolio and returning them to general fundraising activities.

Undergiving major giving prospects — qualified prospects assigned to fundraisers who aren't reaching their predicted gift target. Review their existing actions and opportunities to ensure they're receiving adequate outreach and cultivation.

Prospects assigned to non-active fundraisers — prospects assigned to fundraisers who are deceased or no longer designated. Reassign these prospects to active fundraisers.

For each prospect in your portfolio, review their Target gift range, Major giving likelihood, Giving indicators, and Giving behavior to shape your cultivation strategy. Create and track actions (calls, meetings, emails) and opportunities (solicitation asks) tied to each prospect.

Use the insights to build a sequence of touchpoints that moves each prospect through your pipeline — from initial discovery and relationship building through cultivation to final solicitation.
