General
What actions can be taken on an application based on the application status, program status, and form type?

When an Applicant applies for an in-kind grant, are the number of items requested validated against what is available?
No, the amount requested is not validated against what is available.
Why might a Grant Manager need to create an application instead of having the Applicant apply directly?
Grant Managers with the Grant Application - Can Create or Edit Applications permission have the ability to create an application in the Grant Manager Portal. There are a number of reasons you may need to do this, including:

Creating an application for a grant (historical or current) that was not initiated through GrantsConnect

Facilitating corporate grants where a nonprofit or Applicant are not applying
-
Creating an application on behalf of an Applicant who may not be able to use the system for whatever reason
Archive Applications
What reasons can be given for archiving an application?
A reason must be provided when archiving an application. The following options are available from which to choose.

Completed - Application has finished its lifecycle (i.e., Submission, Review, Approval, Award, Payment, etc.)

Terminated - The grantee did not fulfill their grant agreement or requirements.

Declined - Application was declined.

Duplicate - The Applicant submitted another application.

Other - If this option is selected, it is recommended to include a Comment.

Program archived - All applications attached to a program will be archived if that program is archived.
If an application is declined in a review workflow level, will it be archived automatically?
No. You must archive the application manually.
Collaboration
Can multiple Applicants be added to an application?
Yes, both Applicants and Grant Managers can add collaborators to an application. Learn more.
Will collaborators receive email notifications for the application?
Collaborators will only receive email notifications if they have been granted the Receives email notifications for application status updates permission when added. Learn more.
Communications
What happens if I add an external email that has images embedded rather than attached?
You can attach an external email to an application even if its images are embedded in the content. However, these images will not appear in the email view in GrantsConnect or be added to the Attachments tab in the Application View.
If you need to retain these images in the application, it is recommended to save them locally and then attach them to the email when you send it to the unique email address for your application.
Decline Applications
If I turn on auto-declination, what will happen with applications that have already been submitted?
Existing applications will not be impacted. They will not be automatically declined.
If I turn off auto-declination, what will happen with applications that have already been submitted?
Existing applications will not be impacted.
Will an application automatically be archived if it is declined in a review workflow level?
No, the application must be archived manually. Learn more.
Permissions
What permissions are required to cancel an application?
Grant Managers and Reviewers must have one of the following permissions to cancel an application.

Grant Applications - All

Grant Applications - Can Create or Edit Applications

Grant Applications - Can Access and Take Actions On All Applications
Additionally, you must be a Workflow Manager with the Cancel applications action enabled.

What permissions are required to decline an application?
Grant Managers and Reviewers must have one of the following permissions to decline an application.

Grant Applications - All

Grant Applications - Can Create or Edit Applications

Grant Applications - Can Access and Take Actions On All Applications
Additionally, the Allow declination at this level action must be enabled at the workflow level.
Tip: If a Workflow Manager with the Decline action enabled, this action can be taken regardless of the workflow level settings.

What permissions are required to approve an application?
Grant Managers and Reviewers must have one of the following permissions to decline an application.
