About One-Time and Sustaining Gift Receipts
Learn the differences between one-time and sustaining gift receipts.
One-Time Gift: This receipt automatically attaches to a Thank You autoresponder when the donation transaction occurs. When sustaining receipts is disabled and the Sustaining Thank You autoresponders are enabled, all donations associated with a one-time gift receipt are handled in the autoresponder.
Sustaining Gift: This receipt needs a different template than the one-time receipt template. It is not automatically sent out to the donor. After the template is ready and sustaining gift transactions arrive (that weren't already receipted with a one-time gift receipt or previous sustaining receipt), you can generate a batch of sustaining receipts. In Receipt Manager, you'll create a delivery and send an email with a link for the donor to download the receipt. This is useful for end-of-year tax purposes.
Tip: For more details about sustaining gift receipts, see See FAQ Sustaining Receipts.
Contact Blackbaud Support to enable.
See Create a PDF Receipt Template. Design a template based on its purpose. Some fields and S120 tags are specific to one-time receipts or sustaining receipts.
You can use one-time gift receipts without enabling sustaining receipts. However, to use sustaining receipts, Blackbaud Support must enable both one-time and sustaining gift receipts.
One-Time Gift: Yes, these receipts go out to anyone who makes a transaction for a donation campaign, eCommerce store, TeamRaiser event, Personal Fundraising campaign or ticketed event that is associated with the receipt template.
Sustaining Gift: These receipts are associated with a donation campaign. They aren't supported for Donations Classic, eCommerce store, or ticketed event. Although you can't associate a TeamRaiser event or Personal Fundraising campaign with this type of receipt template, you can associate it with the underlying donation campaign.
Existing receipts don't change. All existing receipts are one-time gift receipts whether or not you enable sustaining receipts.
In the Templates list in Receipt Manager, you'll see a Receipt Type column even if you do not turn on Sustaining Receipts. This column contains the value, One-Time, to indicate that the template is a one-time gift receipt template.
Yes. However, you can only associate one of each type of receipt template to the same donation campaign.
Sustaining Receipts
Once enabled and configured, you can generate and send receipts to sustaining donors in an automatically-created email message.
Prior to the sustaining receipts feature, Luminate Online only supported one-time gift receipts. This was known as PDF Receipting. With the availability of sustaining receipts in version 15.9, a one-time gift receipt is now a receipt type along with the sustaining receipt type.
That depends on a few things that are outlined below.
PDF Receipting is on and Sustaining Receipts is off:
Existing receipt templates generate receipts for one-time gifts and sustaining gifts attached to the appropriate transaction autoresponders.
By default, these receipt templates are a one-time receipt type and are sent as such to donors with transactions in the associated campaigns.
PDF Receipting and Sustaining Receipts are turned on:
Existing receipts in Receipt Manager prior to enabling Sustaining Receipts are considered a one-time receipt type.
Newly-created templates are either a one-time receipt type or a sustaining receipt type.
Contact Blackbaud Support to enable.
PDF Receipting must be turned on to enable sustaining receipts, but this does not mean you have to use one-time gift receipts.
No. Sustaining receipts is not supported in Donation Classic.
After sustaining receipts is enabled, you can create a "Sustaining" receipt type template. See Identify the PDF Receipt Template.
Nothing changes the existing receipts. All existing receipts are one-time gift receipts whether or not you choose to enable sustaining receipts. You'll see a receipt type column in the Templates list in Receipt Manager even if you don't turn on Sustaining Receipts. This column will contain the value "One-Time" to indicate that the template is a one-time gift receipt template.
Sustaining donors that have been receiving the one-time gift receipt each month will continue to receive the autoresponder unless it is disabled. As a best practice, we suggest that you remove the transaction summary from the Sustaining autoresponders to avoid any confusion with submitting it for tax purposes; donors should only submit the sustaining receipt.
Only sustaining transactions not already receipted will be generated for a sustaining receipt. We do not recommend turning Sustaining Receipts off once it has been enabled.
If PDF Receipting was enabled and configured before enabling sustaining receipts, the donor receives a sustaining autoresponder (in the donation form) with the uploaded receipt attached each time the transaction occurs.
After sustaining receipts is enabled, you can send a sustaining receipt for any donation not previously receipted. However, the sustaining autoresponders will continue to be sent without the one-time gift receipt as they were prior to enabling sustaining receipts.
As a best practice, we suggest that you remove the transaction summary from the sustaining autoresponders to avoid any confusion with submitting it for tax purposes; donors should only submit the sustaining receipt.
Tip: To comply with Mastercard’s recurring subscription requirements, we recommend that you update the language of your receipts to include the link to your Gift Service Center or other cancellation means (for example, add an email address or phone number).
You can Void the receipt, then change the donor in Transactions, and Generate the receipt for the new donor.
They shouldn't be the same template. Although you could upload the same receipt template, they won't behave the same way.
After a donor's transaction is receipted through a particular template, the Receipt Type for that template can't change.
Not all of the Input Fields and S120 tags are supported in a sustaining receipt. To aggregate data for an annual sustaining receipt to donors, you must add the appropriate sustaining fields and S120 tags to a sustaining receipt template. See PDF Receipt Input Fields and S-Tags for PDF Receipt Templates.
