Add a Gift Record

Recording gift information is essential to understanding the impact and effectiveness of your fundraising efforts. Each gift reflects a successful moment of donor engagement and supports your mission financially. By consistently adding gift records, you gain valuable insights into donor behavior, track the success of your solicitation strategies, and identify trends in giving over time. This data enables you to evaluate what’s working, refine your approach, and build stronger, more meaningful relationships with your constituents. You can analyze giving patterns directly from Work Center or a constituent’s record to make informed decisions that drive future fundraising success.

The types of gifts you can add in the web view are, one-time, recurring, pledge, gift-in-kind, stock/property, and other. For more information, see Gift Types.

Note: Gift batches don't support stock/property and pledge types.

You can add gifts from:

  • From the navigation, select New, Gift

  • Gifts, Overview

    Warning: When you add a recurring gift through a batch, future payments won't process until you approve the batch to create the recurring gift record.

  • A constituent's record

Gift details

  1. Enter how much the donor gave and when.

  2. The full gift amount appears in Receipt amount. To only include how much is tax-deductible, select Change receipt amount and enter the amount.

    Note: To calculate the tax-deductible amount, subtract the value of any benefits the donor received — such as a mug or t-shirt — from the gift amount.

  3. If the constituent requests to keep their giving private, select Mark as anonymous. For more information, see Anonymous Giving.

    Note: If the constituent's record is marked Gives anonymously, the gift is automatically marked as anonymous.

  4. Select the type of gift the donor is giving. If you want to further define the gift, select a subtype for it. For more information, see Gift Types.

    Tip: Don't see gift subtypes? In the database view, your organization can set up the available gift subtypes in Tables under Configuration.

    • For recurring gifts, the schedule defaults to a monthly frequency starting on today's date. To make changes or to add an end date for the gift, select Edit schedule. For more information, see Recurring Gift Schedule.

      Tip: Process additional payment now displays if the gift date is equal to or prior to today, and the first scheduled installment is in the future. To make an additional payment, select Process additional payment now. The date of the additional payment does not need to follow the schedule for future recurring gift payments.

    • Gifts-in-kind are contributions of goods or services that have an estimated monetary value. Enter the value.

    • Other are miscellaneous donations that don't fall under another type.

    • For stock/property, enter information about the gift in Stock details. For more information, see Stock/Property Gifts.

    • For pledges, the installment schedule defaults to a monthly frequency starting on today's date. To change the date, frequency, and generate installments select Pledge schedule. For more information, see Pledge Schedule.

    • For pledge payments, you can apply the payment to the donor's outstanding pledge or to different constituent's pledge. For more information, see Pledges.

  5. Choose the donor's method of payment. For more information, see Payment Information.

    Note: Stock/property gifts and pledges do not have a payment method.

    Note: Admins! If you give a user the rights to add a gift, they also have rights to process credit cards and direct debits.

  6. To track the gift, under Gift splits choose from the following options:

    • If the gift is the result a fundraising effort, choose the campaign, fund, and appeal to associate with it.

    • If you included different versions of content and items in the appeal, choose the one used for this gift in the Package field. For more information, see Appeal Records.

    • To apply the gift toward multiple campaigns, funds, and appeals, select Split this gift and select the additional ways to track it. For more information, see Split Gifts.

  7. If someone influenced the donor to give the gift, under Soft credits choose the constituent and amount to recognize them for.

    • For constituents who automatically receive credit for the donor’s gifts, such the donor's spouse or employer, enter how much to recognize them for in Amount.

    • For other constituents, select Add a soft credit, search for and select their record. Then enter how much to recognize them for in Amount.

      Tip: To quickly enter how much to credit multiple constituents, select Distribute evenly or Full amount to all.

  8. To follow up with the donor, in Acknowledgement status and Acknowledgement letter, choose whether to send a thank you and the one to use. If you already sent one, select the date.

  9. Choose whether to provide a receipt, in Receipt status. If you already provided one, select the date. For more information, see Acknowledgements and Receipts.

  10. Choose whether (and when) to track the gift in financial reporting and post it to the general ledger of your accounting system, in Post status and Post date.

  11. Enter any additional notes or details to track about the gift in Comment.

    Tip: Reference is Comment in web view.

  12. Select Save or continue to add fundraiser credits and custom fields.

Fundraiser credits

To choose who to recognize for cultivating the gift — such as staff or board members — and how much credit they receive, select Fundraiser credits.

  • For fundraisers who automatically receive credit for the donor’s gifts, enter how much to recognize them for in Amount. For information about how to assign fundraisers to constituents, see Fundraiser Assignments.

    Note: All fundraisers currently assigned to the donor automatically receive full credit unless specific people receive it for the campaigns, funds, and appeals selected.

  • For other fundraisers, select Add a fundraiser credit, search for and select their record, and then enter how much to recognize them for in Amount.

    Tip: To quickly enter how much to credit multiple fundraisers select Distribute evenly or Full amount to all.

Custom fields

To add specialized information for gifts — such as whether a reminder was sent — select Custom fields.

  • Under Category, choose the custom field to add, then specify the Value to save.

  • Choose when to apply the information to the gift and enter additional comments as needed.

On the gift's record, add more details such as attachments. For more information, see Gift Records.

Note: To help you understand a donor’s affiliation with your organization, Raiser's Edge NXT automatically assigns their primary constituent code to the gift. On the gift’s record, you can view the affiliation in the Constituency field under Gift and marketing codes. If the donor gave in another context, change the constituency in the database view from the Miscellaneous tab of the gift’s record. For more information, see Gift and Marketing Codes.
