Work with portfolios
Use portfolios to group related awards, grants, or other funding opportunities.
A portfolio groups related awards, grants, or other funding opportunities (e.g., the New Student Award).
An opportunity contains all application materials (questions, qualifications, etc.) as well as individual applications related to a single award (e.g., the New Student Award for Fall 2025).
To create a new portfolio:

Go to Opportunity, Portfolios, Create New.

Enter the following Portfolio Information (i.e., information that applies to all opportunities in the portfolio):

Name: Visible to applicants and reviewers

Fund Code: Helps track against your accounting system
-
Auxiliary Fund Code: Provides additional tracking if needed
-
Project ID: For other types of tracking
-
Institutional Commitment (included in certain subscriptions): For more information, see Institutional Commitment

Qualified to Apply: Prevents ineligible students (applicants) from applying to opportunities for which they are not qualified. Ineligible applicants do not see the Apply to button for opportunities in which they do not qualify if this option is enabled.
Note: If you are a system admin, you can bulk apply Qualified to apply.

Donors: Link an associated donor profile page (for more info, see Set up donor profiles)

Scopes: Control which non-system admins can access this portfolio (for more info, see Scopes)

Visibility: Decide when your portfolio's opportunities are visible on your system's landing page (for more info, see Hide old portfolios)

The Description is visible to applicants and reviewers and should include a profile of an ideal applicant

Tip: To avoid showing $0 for Visible Award Amount, either enter a dollar amount in Available Funds or a value like Varies, Unspecified, or a specific dollar amount in Visible Award Amount.

Select Create Portfolio.

Once you've created a portfolio, use the following tabs to update settings and get more information:

Details: View and edit portfolio information, including Renewal Settings (if included in subscription) and overall Financial Information. For more guidance on creating portfolios for renewable awards, see Set up and manage renewable awards.

Opportunities: See all active and archived opportunities that were part of this portfolio

Renewal Applications (if included in subscription): See a list of current renewal applicants across the portfolio. For more info, see Monitor renewable awards .

Encumbered Applications: See all applications that have been awarded funds from opportunities in your portfolio

To hide old portfolios (or those created by mistake):

Go to the portfolio's Details page.

Set the Visibility :
-
Always Visible : A listing is always visible on the Opportunities tab, even if all opportunities for the portfolio are archived.

Visible When Open: A listing is only visible on the Opportunities tab if an opportunity is currently published and accepting applications.

Always Hidden: A listing is never visible on the Opportunities tab , even if the opportunity is currently published and accepting applications.

Select Update Portfolio.
Once there are no active opportunities within the portfolio, neither applicants nor administrators will see this portfolio.
Note: To access hidden portfolios, go to Opportunity, Portfolios, All. At the top right of the screen, select Remove Filters.
Note: Portfolio visibility only refers to whether or not the portfolio is shown on Opportunities or Recommended Opportunities page. If the application category is visible to applicants on an opportunity set to Always Hidden, it will show on the applicant's My Applications page.
