Manage and view billing records

Billing profiles provide a comprehensive overview of all aspects of a student's financial record, enabling Billing clerks to manage accounts on a per-student basis from a single location.

You can access billing profiles from multiple locations throughout Blackbaud Billing management by clicking on a student name on a list or using the People Finder in the navigation.

The sections on a billing profile include:

  • Actions

    Follow up with payers to resolve inquiries or concerns and assign the action to a billing clerk to resolve by a specified due date.

  • Activity:

    Activity provides a snapshot of an account's recent history, including details about unapplied payments and credits and past due charges. Under Activity, you can review recent transactions, create new ones, or select More to print a statement and generate charges.

  • Attachments

    Upload attachments, such as documents, images, PDFs, or other media, to store them on a billing profile.

  • Auto-Pay

    Manage automatic payments for students enrolled in a payment plans. Auto-Pay withdraws funds from bank accounts or credit cards on for the amount and on the date specified in the payment plan.

  • Billing settings

    Make a student exempt from late fees on past due charges.

  • Contracts

    Review the statuses of contracts for incoming students.

  • Financial aid

    Apply financial aid to open charges to reduce the payer's balance, edit existing aid, or remove it.

  • Notes

    Record internal notes to inform other billing clerks about relevant account details.

  • Payment plans

    Distribute open and eligible charges to be paid across a series of installments.

  • Third party payers

    Add organizations that are able to make payments toward an account but are unable to view other financial information, such as billing statements.

  • Statement recipients & payers

    Assign payers to an account and determine which charges and to what percentage each payer is responsible for each charge.
